Terms & Conditions

These Terms and Conditions govern all bookings and services provided by International Adventures Treks And Expeditions Pvt. Ltd. (IATE), operating as himalaya-trekking.com. By booking a trip or using our website, you agree to these terms.

1. Booking & Confirmation

A booking is confirmed only upon receipt of the required deposit and a written confirmation from IATE. Provisional bookings are held for a maximum of 7 days without deposit.

  • All bookings must be made directly with IATE or through an authorised agent
  • You must be at least 18 years of age to make a booking, or have written parental consent
  • IATE reserves the right to decline a booking at its sole discretion

2. Payment Terms

  • Deposit: A non-refundable deposit of 20% is required to confirm your booking
  • Balance: The remaining balance must be paid at least 30 days before your departure date
  • Late bookings: Full payment is required immediately for bookings made within 30 days of departure
  • Payment may be made by bank transfer, credit/debit card, or other methods agreed in writing

3. Prices & Inclusions

All prices are quoted in USD unless otherwise stated. Prices are based on current costs at the time of quotation and are subject to change in the event of significant currency fluctuations, fuel cost increases, or government-imposed levies. Any price change will be communicated to you in writing. Inclusions and exclusions are clearly listed in each trip package description.

4. Cancellation Policy

Cancellations must be submitted in writing to contact@himalaya-trekking.com. The following charges apply:

  • 60+ days before departure: Deposit forfeited
  • 30–59 days before departure: 50% of total trip cost
  • 15–29 days before departure: 75% of total trip cost
  • 0–14 days before departure or no-show: 100% of total trip cost

IATE strongly recommends purchasing comprehensive travel insurance that includes cancellation cover.

5. Changes to Bookings

Requests to change dates or trip details must be made in writing at least 30 days before departure, subject to availability. A change fee may apply. Changes made within 30 days of departure will be treated as a cancellation and re-booking.

6. Trip Modifications & Cancellations by IATE

IATE reserves the right to modify, postpone, or cancel a trip due to unsafe conditions, natural disasters, political instability, insufficient bookings, or other circumstances beyond our control (force majeure). In such cases, we will offer an alternative departure date or a full refund of payments received, excluding any non-recoverable third-party costs.

7. Health & Fitness Requirements

Trekking in the Himalayas is a physically demanding activity. By booking, you confirm that you are in good physical health and have disclosed any pre-existing medical conditions that may affect your participation. IATE reserves the right to exclude any participant whose condition poses a risk to themselves or others. Medical expenses, evacuation costs, and related expenses are the sole responsibility of the participant.

8. Travel Insurance

Comprehensive travel insurance including medical coverage, emergency evacuation, and trip cancellation is mandatory for all IATE trips. You must provide proof of insurance before your departure. IATE accepts no liability for costs that would otherwise be covered by adequate travel insurance.

9. Liability

IATE and its staff, agents, and guides shall not be liable for any injury, loss, damage, accident, delay, or irregularity arising from circumstances beyond our control, including but not limited to acts of nature, weather, political events, or acts of third parties. Our liability in any case is limited to the cost of the services booked with us.

10. Conduct

All participants are expected to behave respectfully towards local communities, the natural environment, and fellow trekkers. IATE reserves the right to remove any participant whose conduct is deemed unsafe, disruptive, or disrespectful, without refund.

11. Permits & Documentation

Obtaining and carrying valid travel documents (passport, visa, permits) is the responsibility of the participant. IATE will assist in arranging standard trekking permits on your behalf as included in your package. Additional fees imposed by government authorities are payable by the participant.

12. Governing Law

These Terms and Conditions are governed by the laws of Nepal. Any disputes shall be subject to the exclusive jurisdiction of the courts of Kathmandu, Nepal.
